OLT Grants Scheme - information for UoM staff
The University's process for OLT grant application has been designed with the following objectives:
- To maximise the likelihood of success by supporting applicants in the development of high quality applications;
- To simplify the process for applicants, particularly with regard to compliance with the OLT guidelines; and
- To coordinate the University review process, including the involvement of the Provost's office.
Types of involvement in OLT projects
There are various ways in which a University of Melbourne staff member may be involved in an OLT project:
- As the project leader. The applicant has principal responsibility for the development and management of the project, and the University of Melbourne is considered by OLT to be the 'lead agency'. If successful, the OLT enters into a contractual agreement with the University of Melbourne, and funds are provided directly to the University. Such projects may well also involve other universities as partner institutions.
- As a team member on a project led by a University of Melbourne colleague. The processes for application are the same as above. The project leader is responsible for coordinating and lodging the application.
- As a team member on a project led by a colleague in another university. The contractual agreement is between the OLT and the lead university. It is a requirement, however, that the University of Melbourne (as a 'partner institution') provides formal acknowledgement of the institution's involvement, and also endorsement of the project. Appropriate distribution of funds is detailed in the budget.
In terms of the application process, there are some differences based upon whether or not the University of Melbourne is the nominated 'lead agency' (as this affects the nature of the contractual obligations of the University). However, any University of Melbourne staff member listed as a team member on an application needs to follow the process described below, including submission of the application for review by the University (Step 3 - below).
4 step guide for University of Melbourne applicants
The following is a checklist and timeframe for applicants. The feedback rounds of Steps 1 and 2 are strongly recommended, and will assist applicants in the preparation of high quality applications. Whether or not the University of Melbourne is the designated lead agency, Step 3 is essential. The OLT does not accept applications without the formal endorsement of all participating institutions.
Step 1: Developing the idea
It is recommended that this step be completed at least 3-4 months before the submission deadline for the particular grant round.

Step 2: Writing the proposal
This step provides an opportunity to receive further feedback on your complete draft Proposal, prior to submitting it for University review.

Step 3: Review by the University
All applications to OLT require the support and formal endorsement of both lead and partner institutions. Review and endorsement of your application is coordinated by CSHE, on behalf of the Office of the Provost.

All applicants are advised of the review outcome by the Office of the Provost. Applications endorsed by the University will receive a signed letter of support from the Provost. This letter of institutional support is essential for Step 4. |
